We are looking for a dynamic and confident candidate to fill the position of Administrator and Receptionist at our award-winning cosmetic clinic, located at 102 Harley Street, London.

Job Roles and Responsibilities:

  • Interacting with our patients
  • Managing the busy diaries of our clinicians
  • Assisting with invoicing and payments
  • Providing support for the administrative staff
  • Providing staff cover for lunches/breaks and annual leave
  • Handling calls, both internal and external, where necessary
  • Assisting with stock takes and unloading stock orders
  • The Ideal Candidate Will Be/Have:
  • Exceptional customer care
  • Confident, with a personable demeanour
  • Highly-efficient and organised
  • Good at time-keeping and punctual
  • Great interpersonal and communication skills
  • Demonstrable initiative, with the ability to work to deadlines and follow instruction from senior members of staff
  • Some previous experience in an administrative-based role
  • Experience in selling, with demonstrable brand knowledge
  • Enthusiasm to learn and to be a part of a dynamic, medium-sized team

Job Roles and Responsibilities:

  • Handling phone calls, assisting with patient bookings – both existing and prospective
  • Managing the busy diaries of our clinicians
  • Following up on marketing leads and potential patients’ enquiries
  • Logging and tracking calls to provide comprehensive data and progress reports
  • Successfully booking in new patients with the appropriate clinician
  • Managing recall systems for existing patients
  • Advising patients, though not consulting them, on the phone
  • Assisting and supporting the administrative and clinical team
  • Making comprehensive notes and messages to pass on to the intended recipient
